Executive Assistant
Beautiful and spacious athletic facility is in need of a motivated Executive Assistant to provide a variety of administrative support to the Management Office for the CEO and General Manager. This private gym is one of the largest facilities in So. California and is geared for families and all age groups. Office is located in Los Angeles, zip code 90026 and the role is onsite, during business hours.
This is a small company of 60+ employees, with more than several hundred loyal clients and growing, so you will be exposed to many exciting aspects of running a business such as office management, marketing, communications, client and vendor relations, as well as some employee relations and HR. Responsibilities

Provides onsite office and administrative support to ensure a smooth and efficient operation of the business

Schedules internal & external meetings and supports vendor visits; handles meeting prep, takes notes and handles follow-up action as needed

Prepares and drafts memos, correspondence, spreadsheets and provides other office support

Keeps office and data organized, online and offline / paper and e-files

Uses a variety of systems, tools and resources for Administrative, Marketing, Human Resources and Operational support

Marketing: Updates and maintains website, dashboards and other databases

Marketing: Gathers content and photos to creates monthly internal and external newsletters

HR: Assists with onboarding of new hires with employee paperwork and set up

HR: May assist with gathering and entering employee timekeeping hours, payroll prep and analytics

HR: Supports department leads with organization, related tasks and company communications

HR: Maintains confidentiality on behalf of CEO/ owner and multiple department leads

HR: Supports upper management by gathering weekly department recaps from team Managers

Oversees office supplies, inventory and goods needed for office, teams and facility

Ability to maintain operational needs and run local errands, if needed
Experience and Skills

Bachelor’s degree or Associate’s degree preferred, or extended experience in lieu of education

Minimum 3-4+ years of related office experience, project execution and administrative support

Proficiency in Google workspace or MS Office (Word, Excel, PowerPoint)

Must have strong attention to detail with analytical and problem-solving skills

Ability to prioritize, be a resourceful problem solver, create solutions to meet objectives

Ability to clarify and ask the right questions - recommend changes where needed

Demonstrated experience to streamline workload, make efficiencies and set priorities

Excellent verbal and written communication skills. Capable of listening, determining needs and finds best method(s) to deliver results.

Demonstrated excellence with planning, time-management and successful execution of multiple projects.

Preferred experience working with a CEO, or high-level leader, team managers, and or business owner(s)

Must be able to work full time, during business hours, onsite zip code 90026 required, no remote
Nice to have, but will train as needed

Working knowledge of ADP WorkForce Now helpful, but not required

Working knowledge of QuickBooks helpful, but not required

Working knowledge of Canva Graphic Design helpful, but not required

Working knowledge of Sked Social, helpful to support social media presence but not required

Working knowledge of MailChimp for newsletter correspondence, but not required
Pay Range: salary of $42,000 - $66,560 annually or up to $32.00 per hour base pay
The offered salary or salary range is based on several factors, including, but not limited to, a combination of overall years of relevant experience, education, applicable office and technical skills, certification, proven experience, etc.
