Senior Office Administrator / Executive Assistant

Senior Office Administrator / Executive Assistant needed in Los Angeles for an exclusive and upscale family fitness destination. The ideal candidate will have a “get it done” attitude with a variety of duties and can establish relationships. An organized, self-starter who wants to progress to Office Manager would be ideal. Location is onsite zip code 90021 in a beautiful 40,000 square foot gym, fun activity and fitness destination for families.

 

What You’ll Be Doing

 

  • Provide administrative and business support to ensure a smooth and efficient operation of the business

  • Coordinate internal meetings by scheduling all attendees and taking meeting notes, creates action plans if needed

  • Handle special projects from CEO/ COO partners and or General Manager as needed.

  • Maintain QuickBooks, expense reports, invoice reporting & databases

  • Support upper management by gathering weekly departmental recaps from staff

  • Schedule vendor meetings, track vendor costs and support vendor visits

  • Events – line up, scheduling, travel and coordinates onsite/ offsite

  • Prepares and drafts correspondence, spreadsheets, memos, check lists, etc.

  • Assists in office organization, filing confidential  paperwork & reports

  • Payroll – time sheet reporting and overtime analytics in ADP Workforce

  • Owns onboarding of new hire employees & paperwork

  • Assists with staff relations, issues, research and company communications.

  • Supports department leads by performing tasks related to organization with strong communication and follow through

  • Assists with city and state protocols and covid research & requirements, if needed

  • Social media: update website, dashboards, socials in SkedSocial

  • Marketing & PR: Create monthly internal and external newsletters and PR lines

  • Oversees company uniforms & company logo collateral; place orders, run errands, car wash

  • Inventory management for office supplies and other items and equipment

 

 

Success Skills

 

  • Experience required, minimum 6-7 years (or more) experience of business operations and or supporting an executive and or high-level management

  • Proficient in Google products & MS Office. Experience using QuickBooks or system.

  • Highly preferred; experience using payroll time approval / reporting software

  • Ability to learn in-house software iClass Pro for reports and database maintenance

  • Project management; ability to prioritize short-term and long-term projects through completion

  • Thought-partner; to troubleshoot issues, resolve problems, maintains relations

  • Maintains confidentiality on behalf of multiple directors, departments and projects
