Administrative Assistant
State-of-the-art and spacious athletic facility is in need of a strong Administrative Assistant onsite in Los Angeles, CA to provide office support to the CEO and Management Office leaders.

This is a career opportunity of 30-hours onsite per week, Monday through Friday. Successful candidates should have proven office support experience with data and systems, task & project management skills and the ability to streamline processes. Those who want to participate in a variety of business projects and executive support such as Marketing, Client + Vendor Support, Operations, Project Management and HR are encouraged to apply!
Responsibilities

Provides onsite office and administrative support to maintain efficient business operations

Schedules internal & external meetings, manages and updates calendar(s) and communications

Prepares for meetings, sends memos, takes meeting notes with follow-up actions and results.

Maintains and collects data, creates Excel spreadsheets and PowerPoint presentations

Uses a variety of systems, tools, software, streamlines work and finds improvements

Maintains and posts line items and credit card reconciliations in QuickBooks and Excel

Marketing/PR: Gathers photos and content to help create monthly internal/external newsletters

HR: Assists with employee tasks such as onboarding, timekeeping and payroll preparation

HR: Ensures confidentiality while supporting company communications and management needs

HR: Maintains employee confidentiality on behalf of CEO/ owner, managers and employees

Creates efficiencies, organizes data both online and offline, as needed for business and clients

Supports upper management by gathering weekly department recaps from team Managers

Oversees office area including supplies, onsite inventory, staff questions and other operations
Experience and Skills
-
Bachelor’s degree or Associate’s degree preferred, or extended experience in lieu of education
-
Minimum 3-6+ years of similar office experience, administrative support and project execution

Proficiency in Google workspace, Outlook, MS Office (Word, Excel, PowerPoint) & Slack or Teams
-
Must have experience maintaining multiple (2-3) separate Google calendars

Must have experience using apps or software to create digital efficiencies. Experience using Asana, Calendly, NetSuite or QuickBooks is preferred, but not required.

Must have strong attention to detail, proactive thinker with analytical and problem-solving skills

Ability to prioritize, be a natural problem solver, find and create solutions and results

Excellent communication skills, verbal and written with the ability to ask the right questions

Demonstrated experience to streamline workload and find better ways to get work done

Proven ability to explore and research apps and software, learn quickly and share with others

Preferred experience working with a CEO, or high-level leader, team managers, and or business owner(s)
Onsite location, beautiful office, fluid team environment and casual dress, with full benefits. Health insurance, 401K, annual bonus and perks. Must work Monday – Friday office hours onsite zip code 90026. No remote.

Pay Range: salary of $42,000 - $62,400 annually or up to $28.00 - $32.00 per hour base pay
The offered salary or salary range is based on several factors, including, but not limited to, a combination of overall years of relevant experience, education, applicable office and technical skills, proven skills and experience, certifications, etc.
